Dry Hire Terms & Conditions

These terms apply to all equipment hired through the Pixelhut dry hire service.

1. About dry hire

Dry hire means the rental of AV equipment only. No crew, technicians, or on-site support is included unless separately agreed in writing. You are responsible for the setup, operation, and de-rig of all hired equipment.

2. Eligibility

Our dry hire service is available to trade clients only. To access pricing and submit hire requests, you must register for a trade account via our website and be approved by Pixelhut.

We reserve the right to decline any trade account application or hire request at our discretion, without providing a reason.

3. Quotes & bookings

All quotes provided through our website or by email are non-binding estimates. A hire is only confirmed once you have received written confirmation from Pixelhut (by email) and any required deposit has been paid.

Quotes are valid for 14 days from the date of issue unless otherwise stated. Pricing is subject to change for unconfirmed bookings.

Hire dates, including collection or delivery date, event dates, and return date, are agreed at the time of booking and form part of the hire agreement.

4. Pricing & payment

All prices are quoted in British Pounds (GBP) and are exclusive of VAT unless stated otherwise. VAT is charged at the prevailing UK rate.

All dry hire bookings must be paid in full before equipment is released. A 50% deposit is required at the time of booking to secure your dates. The remaining 50% is due no later than 14 days before the hire start date. We accept payment by bank transfer and card.

If payment is not received by the agreed date, Pixelhut reserves the right to cancel the booking and retain any deposit paid.

5. Hire period

The hire period begins when the equipment leaves our premises (or is delivered to you) and ends when it is returned to our premises (or collected from you) in satisfactory condition.

There is no minimum hire period. Most hires are between 1 and 5 days. Reduced rates are available for longer-term hires; contact us for a quote.

Late returns: If equipment is not returned by the agreed date and time, you will be charged at the full daily hire rate for each additional day or part thereof, plus any costs incurred due to the delay (e.g. impact on subsequent bookings).

6. Delivery & collection

We can deliver equipment to any UK mainland address. Delivery and collection charges depend on location, volume, and timing, and will be quoted separately.

Alternatively, you may collect equipment from and return it to our warehouse in Rugeley, Staffordshire by prior arrangement.

Delivery and collection times will be agreed in advance. Please ensure someone is available at the delivery address to receive and sign for the equipment. If nobody is available, a failed delivery charge may apply.

7. Equipment condition on delivery

All equipment is delivered in full working order and has been tested prior to dispatch. Where applicable, equipment will be PAT tested and supplied with relevant documentation.

You must inspect all equipment upon receipt and report any issues, damage, or missing items to Pixelhut within 24 hours. We will arrange a replacement or resolution as quickly as possible. Failure to report issues within this window may affect your ability to dispute charges for damage or defects.

8. Your responsibilities

During the hire period, you must:

  • Use all equipment in accordance with the manufacturer’s guidelines and any instructions provided by Pixelhut
  • Keep equipment secure, dry, and protected from adverse weather conditions (unless the equipment is rated for outdoor use)
  • Provide adequate and stable power supply as specified for each piece of equipment
  • Not modify, disassemble, or attempt to repair any equipment
  • Not sub-hire, lend, or otherwise part with possession of the equipment to any third party without our prior written consent
  • Ensure the equipment is used in a safe environment and in compliance with all applicable health and safety regulations

You are responsible for providing adequate access for delivery, setup, and collection, including any permissions, licences, or venue access required.

9. Damage, loss & insurance

You are fully responsible for all hired equipment from the moment it leaves our premises until it is returned and inspected. This includes responsibility for theft, accidental damage, fire, flood, or any other cause of loss or damage.

Any damage beyond normal wear and tear, or any loss of equipment, will be charged at the full replacement cost. If equipment can be repaired, the repair cost will be charged instead.

Insurance: You are strongly advised to arrange your own equipment insurance covering the full replacement value of all hired items for the duration of the hire period, including transit. Pixelhut does not provide insurance cover for hired equipment.

Evidence of adequate insurance may be requested before equipment is released.

10. Returns & inspection

Equipment must be returned clean, complete (including all cables, accessories, flight cases, and packaging), and in the same working condition as when it was delivered.

All equipment is inspected and tested upon return. You will be notified of any issues identified during inspection.

Charges may apply for: missing items or accessories, damage requiring repair or replacement, excessive cleaning required, or equipment returned in non-working condition (where the fault is not due to normal wear and tear).

11. Cancellation

If you need to cancel a confirmed booking, the following cancellation charges apply based on the notice given before the agreed hire start date:

  • More than 14 days’ notice: 50% deposit refunded
  • 7–14 days’ notice: Full deposit retained (50%)
  • Less than 7 days’ notice: Full hire charge applies (100%)
  • Less than 48 hours’ notice or no-show: Full hire charge applies (100%)

Pixelhut reserves the right to cancel a booking due to unforeseen circumstances. In such cases, any deposit paid will be refunded in full.

12. Limitation of liability

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by English law.

To the extent permitted by law, Pixelhut shall not be liable for any indirect, incidental, or consequential losses arising from the hire of equipment, including but not limited to loss of revenue, loss of data, event cancellation costs, or loss of business opportunity.

Our total liability in connection with any hire shall not exceed the total hire charges paid or payable for that booking.

13. Force majeure

Neither party shall be liable for any failure or delay in performing their obligations where such failure or delay results from events beyond their reasonable control, including but not limited to: severe weather, natural disasters, pandemics, government restrictions, strikes, transport disruption, or supplier failure. In such cases, the affected party will notify the other as soon as reasonably possible, and both parties will work together in good faith to find a suitable resolution.

14. Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of our dry hire service will be subject to the exclusive jurisdiction of the courts of England and Wales.
